Terms of Service

1. Acceptance of Terms

By accessing or using StmtSnap (“the Service”) you agree to be bound by these Terms of Service (“Terms”). If you do not agree, you must not use the Service. These Terms constitute a legally binding agreement between you and StmtSnap Technologies (“StmtSnap”, “we”, “us”).

2. Description of Service

StmtSnap is a software service that parses bank statement PDF files and converts them into structured data formats (Excel, CSV, Tally XML, QuickBooks QBO, Zoho CSV). The Service is designed for Indian chartered accountants, bookkeepers, and finance professionals.

3. Acceptable Use

You may only use the Service to process bank statements that you are legally authorised to access. This means:

  • Your own personal bank statements
  • Statements of clients who have explicitly authorised you to process their data (e.g., your CA clients)
  • Statements of legal entities (companies, firms) you are authorised to represent

Prohibited uses include:

  • Processing bank statements of individuals without their written consent
  • Using the Service for financial fraud, money laundering, or tax evasion
  • Automated bulk scraping or reverse-engineering the API
  • Reselling or white-labelling the Service without a written partnership agreement
  • Using the Service in violation of applicable law, including the IT Act 2000, DPDP Act 2023, FEMA, or PMLA

4. Account Registration

You must provide accurate information when creating an account. You are responsible for maintaining the security of your account credentials. Notify us immediately at hello_stmtsnap@aptibot.com if you suspect unauthorised access to your account.

5. Free Tier

The Free plan provides 15 pages of parsing per calendar month at no charge, permanently and without a credit card. Free-tier usage is subject to IP-based rate limiting. We reserve the right to modify or discontinue the free tier with 30 days' notice.

6. Payment, Billing & Cancellation

  • Billing cycle: Subscriptions are billed monthly on the date of first purchase.
  • Payment processors: INR payments via Razorpay (UPI, net banking, debit/credit cards). USD payments via Stripe (international cards).
  • Cancellation: You may cancel your subscription at any time from your dashboard. Your plan remains active until the end of the current billing period; no further charges are made.
  • Refunds: We do not offer prorated refunds for unused days in a billing period. Exceptions may be made at our discretion for documented technical failures on our part.
  • Price changes: We will notify you by email at least 30 days before any price increase takes effect.

7. Team Plans

The Team plan allows one account holder (“Team Owner”) to invite up to 5 team members. The Team Owner is responsible for all usage and billing under the team subscription. Team members' parsed pages are deducted from the Team Owner's monthly quota. The Team Owner is responsible for ensuring that team members comply with these Terms.

8. Data & Privacy

Your use of the Service is also governed by our Privacy Policy, which is incorporated into these Terms by reference. Key points:

  • Uploaded PDF files are processed in memory and never stored on our servers
  • Extracted transaction data is retained per your plan tier and automatically deleted on schedule
  • You retain full ownership of your financial data at all times
  • StmtSnap is a data processor; you are the data controller for your clients' data

9. Intellectual Property

The StmtSnap platform, brand, software, and extraction logic are the intellectual property of StmtSnap Technologies. You are granted a limited, non-exclusive, non-transferable licence to use the Service for its intended purpose. You may not copy, modify, distribute, or create derivative works based on the Service.

10. Service Availability & Uptime

We aim for high availability but do not guarantee uninterrupted service. Free-tier users receive no SLA. Paid plans receive a commercially reasonable best-effort uptime. Planned maintenance windows will be announced in advance where possible. We are not liable for losses caused by downtime.

11. Accuracy of Extracted Data

StmtSnap extracts data using AI and pattern-recognition technology. Extracted output may contain errors. You must review and verify all extracted data before using it for tax filings, financial reporting, audits, or any official purpose. StmtSnap is not liable for any financial loss, penalty, or liability arising from errors in extracted data.

12. Limitation of Liability

To the fullest extent permitted by applicable law, StmtSnap's total liability to you for any claims arising from the Service shall not exceed the total fees paid by you to StmtSnap in the 3 months preceding the claim. In no event shall StmtSnap be liable for indirect, incidental, consequential, or punitive damages.

13. Indemnification

You agree to indemnify and hold harmless StmtSnap, its officers, and employees from any claims, damages, or expenses arising from: (a) your violation of these Terms; (b) your misuse of the Service; (c) processing data you were not authorised to access; or (d) your violation of any third-party rights.

14. Termination

We may suspend or terminate your account immediately if you violate these Terms, engage in fraudulent activity, or cause harm to other users or the Service. You may terminate your account at any time from Settings → Data & Privacy → Delete Account. Upon termination, your right to use the Service ceases immediately.

15. Changes to Terms

We may modify these Terms at any time. For material changes, we will provide at least 30 days' email notice. Continued use of the Service after the effective date constitutes acceptance of the revised Terms.

16. Governing Law & Dispute Resolution

These Terms are governed by the laws of India, including the Information Technology Act 2000, the Digital Personal Data Protection Act 2023, and the Consumer Protection Act 2019. Any dispute arising from these Terms shall be subject to the exclusive jurisdiction of the courts of Bengaluru, Karnataka, India.

17. Entire Agreement

These Terms, together with our Privacy Policy, constitute the entire agreement between you and StmtSnap regarding the Service and supersede all prior agreements.
